Getting Started with WebPal
Learn the basics of WebPal, from your first login to understanding the interface and managing your account settings.
What is WebPal?
WebPal is a cloud-based enterprise platform that combines three capabilities in a single system:
- Document Management (DM) — Securely store, organise, version, and share any type of file with granular access controls and a full audit trail.
- Content Management System (CMS) — Manage and publish one or more websites directly from the same environment where your documents live, with built-in link management between documents and web pages.
- AI Flow Platform — An integrated AI assistant and agentic automation layer that can work with your documents, answer questions, trigger actions based on events, and automate repetitive workflows.
WebPal is deployed on your organisation's own infrastructure or in a private cloud, ensuring that your data residency, security, and retention requirements are met.
First Login
Accessing WebPal
Navigate to your WebPal server in a web browser:
https://YOURSERVER.webpal.net
Your server address will be provided by your WebPal administrator. If your organisation uses a custom domain, you may have a different URL.
Logging In
- Enter your username or email address in the login field.
- Enter your password.
- If Remember Me is available and shown, you can check it to stay signed in across browser sessions.
- Click Sign In.
Two-Factor Authentication (2FA)
If your administrator has enabled 2FA for your account:
- After entering your username and password, you will be prompted to enter a verification code.
- The code will be sent to your registered phone number via SMS or voice call.
- Enter the code within the allowed time window and click Verify.
- If you have verified this device before and selected "trust this device", you may not be prompted on subsequent logins.
The Dashboard
After logging in, you land on the Dashboard — the home page of WebPal.
Dashboard Layout
The interface uses a three-panel layout that is consistent across all sections:

| Centre panel | Primary content area — file listings, editors, document tiles |
| Right panel | Contextual details — properties, AI chat, previews |
Recently Worked On
The dashboard centre panel shows tiles for items you have recently worked on — a mix of documents and AI chat contexts. Up to 8 tiles are displayed in a grid, with a table of recent activity below. Filter pills let you narrow the view by file type (Documents, Images, Spreadsheets, etc.).
The Navigation Bar
The top navigation bar provides access to all major sections:

The top-right corner shows your avatar. Clicking it opens a dropdown with:
- Your name and email
- Settings — profile and credential management
- Dark / Light mode toggle
- Sign Out
Navigation
Docs Section
The Docs section is where you store and manage files. The left panel shows a tree of your folders and shared drives. Clicking a folder shows its contents in the centre panel. Clicking a file opens a preview or editor in the right panel.
Apps Section
The Apps section is where you manage website content. The left panel shows a tree of all the sites assigned to you. The centre panel shows the content tree for the selected site, and the right panel shows a preview.
Flow Section (AI — Admins Only)
The Flow section contains the AI platform. It is only visible to administrators. The left panel lists available AI agents. The centre panel shows agent details, history, and diagrams. The right panel hosts the AI chat interface.
Account Settings
Accessing Settings
Click your avatar in the top-right corner and select Settings.
Profile
In your profile settings you can update:
- First and last name
- Email address
- Language preference (English, French, German, or other configured languages)
- Timezone
Click Save after making changes.
Changing Your Password
From the Settings page, navigate to the Password section:
- Enter your current password.
- Enter your new password and confirm it.
- Click Update Password.
Password requirements may be configured by your administrator.
Credentials (for AI Tools)
Some AI tools require API keys for external services (for example, PipeDrive or GitHub). Navigate to Settings → Credentials to enter these keys. They are stored securely per-user and automatically used when you invoke tools that need them.
Groups
Your Settings page shows the groups you belong to. If you are an admin, you can edit group memberships from here.
Dark Mode and UI Preferences
WebPal supports both a light and dark visual theme. Toggle between them using the sun/moon icon in your avatar dropdown. Your preference is saved and applied automatically on subsequent visits.

Supported Browsers
WebPal works best in modern browsers:
- Google Chrome (recommended)
- Mozilla Firefox
- Microsoft Edge
- Safari (macOS / iOS)
Internet Explorer is not supported.

If you need assistance with WebPal:
- Press Ctrl+P in the application to see available actions.
