Use Case 8: Onboarding a New Employee

Quickly provision access and resources for new team members.

Scenario

A new hire needs to be given access to the right resources quickly.

Administrator Steps

1. Create the user account

  1. Navigate to Server → Users → Add User.
  2. Fill in name, email, and generate a temporary password.
  3. Set role to User.
  4. Click Save.
  5. Click Send Login Details to email the credentials.

2. Assign to group

  1. In the user's profile, scroll to Groups.
  2. Add to the relevant department group (e.g., "Engineering Team").

3. Assign shared drives

  1. In the user's profile, scroll to Shared Drives.
  2. Add the relevant team drives with appropriate permissions.

4. Assign websites

(if applicable)

  1. In the user's profile, scroll to Websites.
  2. Add any sites the user should have access to.

Alternatively: Use the AI

If you have UserAdmin access:

Prompt — UserAdmin agent
Create a new user account for Jane Smith, email jane.smith@company.com. Add her to the Engineering Team group and give her access to the "Engineering" and "Projects" shared drives with full permissions. Send her the login details.

The UserAdmin agent handles the entire process in one step.

Result

The new employee can log in immediately with access to all the right resources.
